What is a farewell email?

A farewell email or a goodbye letter is a letter sent to your coworkers before your last day of work. Knowing how to write a goodbye email ensures that you end your time with the company on a positive note. Write your goodbye email after you've given formal notice to your employer and/or submitted a resignation letter. It's not meant to be a formal document or your first notice about your decision to leave the company.

Why you should write a farewell email to colleagues

There are three reasons why you need to consider sending your colleagues a farewell email:

Showing respect

The main reason for writing a goodbye email is that it's a polite gesture. It also shows how you respect and value your team or the manager that you've worked with during your time. Since you have likely formed close bonds with the people you work with, they will appreciate you telling them that you are leaving the company.

Maintaining your network

Even though you might not be working with your current colleagues or managers anymore, they can still be a critical part of your network. In the future, your colleagues may be able to help you write references. They can also introduce you to a new opportunity or connect you with people in their network that can assist you with reaching your career goals.

Sharing information about the transition plan

In your job, it's often the case that you work in a team or liaise with a few different people to complete a project. When you leave, these people may be unsure about whom to contact. In your goodbye letter, you can inform them about the transition plan and carbon copy (cc) the person taking over from you. This can help to ensure a smoother transition for everyone you've worked with.

How to write a farewell email

A farewell email is not a formal email, and there's no standard format to follow. However, there are a few aspects that you need to consider when crafting a goodbye email:

1. Send it before your last day

Send your goodbye email a few days before your last, so your colleagues have enough time to respond. Some of them may want to ask you about the transition plan and others may want to say goodbye in person. This ensures that you also have enough time to connect with the people you have worked with.

2. Focus on the positive relationships

Although you may be excited about moving on, your goodbye email should not be about you. Instead, focus on the relationships you've built with your coworkers, especially for the emails that you will send individually. Add a few details about the moments that you cherished with them and what you have learned from them. Don't forget to thank them for their support, mentorship or leadership. Remember to also send your best wishes before signing off the email.

3. Make it concise

If you're working in a small team, your immediate colleagues and your manager may already be aware that you are leaving before you send a goodbye email.
