The Opportunity
We have an exciting opportunity for a Learning & Development Coordinator to join a passionate team which is striving to shape Arup’s Learning culture and make a lasting impact on organisational development. This is a great opportunity for someone with experience in L&D administration who is ready to take the next step in their career.
In this role, you will help organise and deliver learning programmes and courses which support our people, primarily in the APAC region, and across the globe. You will work closely with colleagues, online and in person, to make sure everything runs smoothly, from planning sessions and managing logistics to tracking participant engagement and helping improve our learning experiences.
You will be part of a global Learning team which is shaping how learning happens at Arup, and you will gain valuable experience in programme management while working in a dynamic, international environment.
The Learning team is part of the wider Arup University group, which has team members located in offices around the world. This role will be located in the Singapore office, and the successful candidates will work virtually with different team members across all time zones. Flexibility to support meetings and events outside standard hours is essential due to the global nature of the role.
Key responsibilities
- Planning and coordinating learning programmes, workshops, and events, both virtual and in-person, ensuring everything runs smoothly from start to finish.
- Supporting the team with scheduling, communications, and logistics, including managing calendars, booking venues or virtual spaces, and preparing materials.
- Tracking attendance, feedback, and evaluations, and helping to create clear, useful reports that show the impact of our learning activities.
- Helping to coordinate other learning opportunities, such as lunch & learns, knowledge-sharing sessions, onboarding activities, and ad hoc development events.
- Supporting the delivery of team-wide activities, including team meetings, away days, and internal communications that help keep everyone connected and informed.
- Researching new ideas, tools, and providers to help us improve and innovate our learning offer.
- Partnering with subject matter experts (SMEs) to make sure learning content is accurate, engaging, and relevant to our people.
- Looking for ways to improve how we run programmes and communicate with learners, including updating processes, templates, and guidance documents.
- Using our Learning Management System (LMS) to create and maintain engaging programme pages, ensuring that all learning content is up to date, well-organised, and easy for learners to access. This includes uploading materials, updating session details, managing enrolments, running reports, and making sure the user experience is smooth and intuitive.
- Collaborating with colleagues across the business, building strong relationships and supporting a positive learning culture.
- Contributing to global knowledge-sharing by documenting best practices and lessons learned.
Is this role right for you?
We are looking for someone who has:
- Experience in supporting learning programmes, either virtual or in-person.
- Familiar with tools including Microsoft Office, Word, SharePoint, MS teams, and basic design or video editing software.
- An interest in, or familiarity with, tools including Virtual Learning Environments (VLEs) and Learning Management Systems (e.g. Moodle), Miro, and Menti.
- Strong organisational skills and attention to detail.
- The ability to adjust quickly to changing priorities and work comfortably in a fast-paced, evolving environment – you’ll be flexible and adaptable.
- Good communication skills (speaking and writing)– Comfortable working in the English language in an international environment – you’ll be talking to learners, facilitators, and senior stakeholders located in different cities across the globe
- Good collaboration skills – a team player who enjoys working with others and building relationships.
- A curious mindset and interest in new learning methodologies and technologies – someone who is keen to grow in their role.
