Job Description:
Executive & Travel Management

• Manage and coordinate the Head of MED, SEA’s calendar, appointments, and meeting schedules.

• Prepare and submit expense claims and reimbursement requests for the Head of MED including tracking and reconciling travel expenses and supporting documentation.

• Organize internal and external meetings, including preparation of agendas, taking minutes, presentations, and meeting materials.

• Screen and prioritize incoming communications, ensuring timely follow-up and action.

• Prepare reports, presentations, correspondence, and business documents as required.

• Maintain confidential records and sensitive business information.

• Coordinate SBU/Business Sectors communications and administrative activities.

• Arrange domestic and international travel bookings, including flights, hotels, visas, transportation, and itineraries for major events and meetings

• Manage travel logistics and ensure compliance with company travel policies.

• Liaise with travel agencies, vendors, and finance teams regarding bookings and payments.

Commercial Team Support

• Provide logistical support and coordination to the sales and commercial teams for major events and activities.

• Organize customer meetings, workshops, sales conferences, and regional commercial/marketing events.

• Support contract administration, document management, and approval workflows.

• Maintain sales organization records, distribution lists, and team contact databases for the Singapore Team

• Assist in monitoring action items arising from commercial meetings and ensure timely follow-up.

• Coordinate venue bookings, catering, logistics, and participant communications.

• Support preparation of meeting minutes and follow-up actions.

Operational Support

• Collaborate with Finance, HR, Marketing, and other functions to facilitate business operations.

• Assist in procurement and purchase requisition processes when required such as PURE requisition and MDG creation and follow-up

• Support data collection and preparation of sales performance reports and dashboards.

• Drive process improvements to enhance administrative efficiency and team effectiveness.

Job Requirements: Min Diploma/Degree in Logistics/Supply Chain/Business or similar w min 3 yrs of relevant experience, preferably in pharmaceutical/life science/medical device industries
