This is an office-based role in our Singapore office.

About the Role

The Executive Assistant role provides proactive executive assistant support to the Chief Counsel, APAC and the broader Legal team as needed. It enables the Chief Counsel and APAC Legal team to operate effectively in a fast-paced, multi-time-zone environment.

Key responsibilities include administration, diary and meeting management, travel and expenses, event coordination, PowerPoint and Excel preparation and support for Legal Operations initiatives, including use and improvement of relevant AI systems and other tools. The role is front-facing and requires flexibility, confidentiality, initiative, discretion, and strong relationship management internally and externally.

Responsibilities:

Executive Office Administration

  • Proactively manage the Chief Counsel’s diary, priorities, and executive office administration.
  • Organize internal and external meetings across time zones, including logistics, rooms or virtual sessions, agendas, minutes, catering, and first-line video conferencing support where required.
  • Resolve issues, escalate as appropriate, and liaise with senior internal and external stakeholders, EAs, and Legal Operations colleagues across APAC and globally.
  • Manage travel arrangements, visitor itineraries, accommodation, transport, restaurants, meetings, entertainment, visas, couriers, and related logistics.

Expense & Budget Management

  • Prepare and coordinate expense claims, purchase orders, invoices, external law firm payments, and budget information, including T&E, using relevant company systems.

Events

  • Organize and/or coordinate team, local, regional, or all-hands events, including budgets, vendors, financial reporting, and partnership with EA communities or internal working groups for broader Company events.

Contract Administration & Legal Operations

  • Maintain contracts and agreements, coordinate document signing, and use online contract management tools if requested.
  • Assist in building templates, presentations, files, training materials, and intranet content as needed.

Other

  • Support broader Legal team including APAC Legal Operations and APAC business projects in collaboration with internal client groups and the EA/Legal/Legal Operations network

Requirements - Experiences:

  • Extensive senior-level executive support experience, including working with senior stakeholders and maintaining confidentiality and discretion.
  • Experience in a matrixed global organization, ideally in Legal and/or Business Affairs. Law firm experience highly regarded.
  • Experience organizing travel, workshops, meetings, agendas, papers, minutes, and executive meals.
  • Experience managing first-line budgets; SAP and Concur knowledge advantageous.
  • Experience of supporting a team or group of colleagues
  • Super user understanding of relevant software packages and best practice operational systems

Requirements - Skills:

  • High professional standards, integrity, confidentiality, discretion, and attention to detail.
  • Strong time management, prioritization, planning, administration, organization, and project scheduling skills.
  • Excellent written and verbal communication skills, including correspondence preparation.
  • Flexible, proactive, self-starting, results-oriented, and comfortable working independently or collaboratively. Initiative essential.
  • Strong relationship-building, collaboration, and influencing skills across teams, senior management, and external partners.
  • Advanced Microsoft Office, PowerPoint, and Excel capability.
  • Digitally savvy with an understanding and experience using AI tools
