As the Fitness Manager, you will play a critical leadership role in driving coaching excellence and operational success at ReFormd PT. You will be responsible for overseeing and developing our team of personal trainers, ensuring consistent coaching standards, accountability, and performance across the business.

This is a management-focused position and does not involve training clients directly. Instead, your primary responsibility will be to lead, mentor, evaluate, and support our coaching staff while ensuring the overall training experience aligns with ReFormd PT's standards and values.

Key Responsibilities:

Team Leadership & Management:

  • Lead and manage the team of personal trainers to ensure high levels of performance, professionalism, and accountability.
  • Conduct regular one-on-one meetings, team meetings, and performance discussions with coaching staff.
  • Develop meeting agendas, training initiatives, and action plans to support team growth and operational objectives.
  • Define trainer responsibilities, career progression pathways, and promotion criteria.
  • Foster a positive, high-performance coaching culture that aligns with company values.

Performance Management:

  • Monitor and evaluate trainer KPIs, client outcomes, retention metrics, and overall coaching effectiveness.
  • Conduct formal performance reviews and provide ongoing feedback, coaching, and development plans.
  • Identify performance gaps and implement corrective action plans where necessary.
  • Recognize and reward high-performing team members while supporting underperforming staff to improve.

Training & Professional Development:

  • Coordinate and oversee the development of junior and senior trainers.
  • Mentor coaching staff on exercise programming, biomechanics, coaching methodology, client communication, and service delivery.
  • Organize internal workshops, continuing education sessions, and professional development opportunities.
  • Ensure all trainers remain current with industry best practices and company training standards.Quality Control & Coaching Standards:
  • Implement and maintain consistent coaching standards across the entire team.
  • Conduct regular coaching audits and floor observations to ensure training quality and adherence to company protocols.
  • Review client programming, session delivery, and trainer documentation where required.
  • Develop and refine internal systems, SOPs, and coaching frameworks to improve service quality.Client Success & Retention:
  • Work closely with trainers to ensure clients are progressing effectively towards their goals.
  • Implement accountability systems and progress-tracking processes that improve client satisfaction and retention.
  • Analyze client feedback and identify opportunities to enhance the member experience.
  • Support trainers in resolving client concerns and maintaining high service standards.

Operations & Facility Management:

  • Oversee daily gym floor operations to ensure a professional, safe, and welcoming environment.
  • Ensure gym equipment is properly maintained, operational, and compliant with safety standards.
  • Maintain cleanliness, organization, and presentation standards throughout the facility.
  • Collaborate with management to improve operational efficiency and member experience.

Business & Strategic Support:

  • Support management in achieving business goals through effective team leadership and operational execution.
  • Provide insights and recommendations on staffing, team structure, trainer development, and performance management.
  • Assist with recruitment, onboarding, and succession planning for coaching staff.
  • Contribute to the development and implementation of systems that improve business performance and scalability.

Qualifications & Experience:

Education:

  • Diploma or Degree in Sports Science, Exercise Science, Sports Management, Business Management, or a related field preferred.
  • Relevant industry certifications are highly advantageous.

Experience:

  • 3-5+ years of experience in the fitness industry.
  • Minimum 2 years of leadership, management, or senior coaching experience.
  • Proven track record of managing, mentoring, and developing coaching teams.
  • Experience in performance management, staff development, and operational oversight.

Skills:

  • Strong leadership and people management abilities.
  • Excellent communication, mentoring, and conflict-resolution skills.
  • Strong understanding of exercise science, coaching methodologies, and personal training operations.
  • Ability to analyze performance metrics and implement improvement strategies.
  • Highly organized with strong planning and operational management capabilities.
  • Comfortable leading meetings, conducting reviews, and making people-related decisions.
  • Proficient in Microsoft Office, Google Workspace, and gym management software.
